Senior All-Night Party
Minutes for April 29, 2008
In Attendance: Pam Jackson, Lisa Palczewski, Rick Smith, Ed Kape, Gina Moorman, DiAnn Mallehan, Cathy Terpstra, Sue Galster, Rhonda Klaasse, Debby Owsinski, Connie Helzer, Linda Fletke, Shelly Watkins, Shanna McCarthy, Terri Clark, Lisa Olsen, Cindy Saltarski
Meeting was called to order at 6:40 pm. Corrections made to the minutes were for the
POOL hours and GYM hours. Gym will now be from 11pm – 1:30 pm and the Pool will be from 12 midnight to 2:30 am per Pam Jackson. Minutes were approved as changed.
Treasurer’s Report
Ed Kape received check for $156 from the Steak and Shake Fundraiser. We currently have 102 student registrations. Ed gave us a current report.
Committee Reports
Games: Nothing to report.
Bingo: No report (we are going to set tables up like last year)
Food: Julie was not here but said that they will use 24 tables with red table cloths on them.
Prizes: DiAnn purchased a Wii. She has $550 left and will purchase two flat screen televisions and gas gift cards. 50 Certificates will be donated by Hungry Howies on Eastern Avenue. They will possibly be donating 20-30 pizzas. DiAnn wants to set up display case by the Library at school. It will be done on Monday, May 5, 2008 at about 9 am. “Senior All Night Party and Music Mania” letters will be cut out by Cathy for the display. DiAnn has collected about 40 prizes.
Entertainment: DJ will be in the wrestling room again. (His son will get into the party free – we will need to confirm his name) The Hypnotist will perform from 2:30 to 3:30 am (Pam Jackson may adjust the time from 3:00 to 4:00 am)
Bag Check: Write the same number on the bag that appears on the student’s hands (from the prize number they received). The bag contents will include things like: Swim suits, purses, cell phones, keys, etc. Sue G told Connie that she has 3 workers scheduled for both shifts.
Publicity: Posters, teacher invitations, and volunteer postcard reminders were created as proofs. These were passed around for any comments or suggestions before they go to print. Some “red” will be added to the IPOD area on the poster. Rick’s office will distribute the teacher invitations in the freshman building and also the 10-12 building. (distribution date planned for May 9) Sue Galster would like the reminder cards on May 5, 2008. Kathy Roos talked to Connie at EK about adjusting the speed of the “running” sign out front. Gina suggested that we also print the schedule for the evening and post it for the students so that they know the “hours” of the Games, DJ/dancing, Open Gym, Pool, Hypnotist, and prize drawing. (So far we know that the games are from 10:30 pm – 2:45 pm, Gym from 11 pm – 1:30 am, and the pool from 12midnight to 2:30 am. The DJ and Hypnotist’s times need to be confirmed)
Volunteers: Sue is all set.
Tee shirts: Linda is planning on ordering extra T-Shirts for those students who sign up late. (These will be first come…first served)
Horse Racing: Nothing to report.
Decorations: Cathy is busy scanning photos as she gets them and would like to have the rest of them by the week before the party. Actual photos scan better than copies. (We realized the registration has “photo copy” accepted on it) Shelly Watkins said that there is a helium shortage. She will try to get it “filled” somewhere. Cathy has cut large letters to use on the walls. The cafeteria area will be called the “Rhythm Café”. Cathy bought 50 feet of settings for two of the walls. The inflatable Juke box will be used for the photo area. She just needs a box for the base.
Fundraising: Pam Jackson reported that there is $118 in our account at Party Party. We decided to request a check to use this year on expenses rather than carry the money over to next year.
Other: Pam Jackson went through the number of tables and chairs needed for set up for the night of the party. (I could not write fast enough to record the quantities!)
Rick will meet with Lisa and Pam to go over the table set-up on Monday, May 5 after they do the display case.
The next meeting has been CHANGED to MAY 15, 2008. REMINDER: THURSDAY, MAY 15, 2008 – 6:30 pm – ROOM 74
